Description

Skin & Beauty Center (SBC) Scheduling Department Representative

Our Scheduling Department is responsible for supporting our clinics by providing excellent customer service over the phones and through digital communications, administrative support and clerical office duties. Team members contribute to the overall positive work environment of the office by treating peers, managers, providers and especially, our patients, with professionalism and courtesy. This role must ensure adherence to all HIPAA, OSHA, federal and state guidelines specific to patient care and privacy.

Scheduling Department Essential Functions

  • All team members logged in daily into the communication portals and focused on optimized scheduling
  • Answers patient’s questions, guiding them through difficult communications or issues, diffusing upset callers
  • Managing office telephone system, including answering high volume of calls, receiving inbound calls, making outbound calls and returning calls and messages
  • Scheduling patient appointments and maintaining communication to confirm future appointments
  • Process and submit patient data in accordance with HIPAA guidelines and company protocols
  • Distribute faxes, requests, authorizations and other digital correspondence
  • Relay updates and information between patients, staff members, and providers, as needed, in order to maintain a smooth patient flow and service patient needs in a timely manner
  • Maintaining patient privacy and adhering to all HIPAA guidelines and company protocols at all times
  • Using computer applications, performing any data entry tasks for standard documentation
  • Meets communication center goals and helps to identify resolutions to challenges in achieving team goals

  • Excellent customer service skills and attention to detail
  • Adjusts priorities swiftly as circumstances arise and can multitask to get the job done
  • Exceptional team-player and able to successfully work cohesively with others
  • Maintains composure under pressure
  • Comfortable answering high volume of in/outbound calls daily
  • Highly adaptable to system, processes and protocol changes
  • Ability to work autonomously and concentrate without distractions

Qualifications


Qualifications and Skills:

  • Minimum High School diploma or equivalent
  • Minimum 2-year prior customer service experience
  • Preferred experience in healthcare
  • Bilingual (not required)
  • Detail and outcome oriented
  • Effective at listening to understand, clarifying and responding to questions/concerns raised by patients
